Summary

This position is an administrative position that requires an extreme attention to detail, the ability to spot errors and learn quickly. This position relies on teamwork and collaboration among all levels of the team. This position is responsible for the timely, accurate and efficient preparation and management of documents. This position controls the numbering, sorting, filing, storing, distribution and retrieval of both electronic and hard copy documents produced by the teams. This position is in an office environment with an 8am to 5pm, Monday through Friday work expectation.

Responsibilities

Document Control Admin candidate will be responsible for but are not limited to the following: Answering emails and phone calls from various levels of the team, assigning tracking numbers and organizing data received. Ensuring all documentation meets formal requirements and standards. Correctly and efficiently combining plan changes to the appropriate packages. Making updated plans and other files available to the team through various platforms within 10 business days of transmittal to EMP/VDOT. The candidate will track, and process plans and plan changes within 24 hours of receiving final signatures and follow up with team to ensure reviews and signatures are being completed in a timely manner. The candidate will have other administrative responsibilities as assigned to include processing information for Right of Way transactions.

Minimum Requirements

This person must be highly organized and work well in a fast-paced environment. Must have working knowledge of Adobe Acrobat and Microsoft 360 including Outlook, Teams. Must be able to communicate effectively and professionally with all levels of team and be able to multitask. The candidate should be reliable and willing to work overtime as needed/approved to complete assigned tasks
